Visa Information

 

IEEE ICMA 2027 will be held on August 8-11, 2027 at Takamatsu Symbol Tower, Takamatsu, Kagawa, Japan. Participants who plan to travel to Japan should check their visa requirements and start the application process as early as possible.

Step 1: Check whether you need a visa

Visa requirements depend on your nationality, place of residence, passport type, and travel purpose. Please first consult the official visa information provided by the Ministry of Foreign Affairs of Japan:

You should also check the website of the Embassy, Consulate-General, or Consular Office of Japan that has jurisdiction over your place of residence. The Japanese overseas establishment or its accredited agency will provide the latest local requirements, forms, document lists, appointment rules, fees, and submission methods.

Step 2: Prepare conference-related information

If you need a visa support letter or other conference-related supporting documents, please prepare the following information before contacting the conference secretariat:

  • Full name as shown in your passport;
  • Nationality, affiliation, position/title, and contact email;
  • Passport number, date of birth, and planned travel dates, if required for the document requested by the Embassy or Consulate-General of Japan;
  • Paper ID, paper title, and author list, if you are an accepted author;
  • Registration/payment confirmation or attendance information, if available;
  • The exact list of documents requested by the Japanese Embassy, Consulate-General, or accredited agency.

Step 3: Request an invitation letter or visa support documents

Recommended email subject: ICMA 2027 Visa Support Request - Your Name - Paper ID (if you do not have a paper ID, please use "Participant" instead).

The conference may provide a conference invitation letter and, when required by the Japanese Embassy or Consulate-General, Japan visa support documents such as an invitation letter, letter of guarantee, and schedule of stay. Please note that the required documents differ by country/region and by the local Japanese overseas establishment. The secretariat can only prepare conference-related materials after receiving complete and accurate information from the applicant.

Step 4: Submit the visa application through the official channel

Submit your visa application to the Embassy, Consulate-General, Consular Office of Japan, or an accredited agency designated by the relevant Japanese overseas establishment. According to the Ministry of Foreign Affairs of Japan, visa application procedures and required documents vary depending on the travel purpose and the applicant's nationality. If there is no particular problem with the application, standard processing generally takes five working days from the day after the application is accepted; however, additional checks or peak application periods may require more time. Participants are strongly advised to apply well in advance of their intended travel date.

Important notes

  • A visa cannot be obtained after arriving in Japan. Please complete the visa process before travel if a visa is required.
  • Holding a visa does not guarantee entry into Japan. Final landing permission is determined by the immigration officer at the port of entry.
  • IEEE ICMA 2027 cannot influence or guarantee the result of any visa application.
  • Visa rules, fees, forms, and processing arrangements may change. Please rely on the latest information from the Ministry of Foreign Affairs of Japan and the Japanese Embassy or Consulate-General with jurisdiction over your residence.
